Booking Terms and Conditions

These Booking Terms & Conditions govern bookings made with Mt Kenya Trekking Expeditions (“Mt Kenya Trekking Expeditions,” “we,” “us,” or “our”). By making a booking or paying a deposit or the full trip amount, the Guest (“you” or “your”) confirms that they have read, understood, and agreed to these Terms & Conditions.

1. Booking Confirmation

 A booking is considered confirmed once Mt Kenya Trekking Expeditions has received the required payment and confirmed the reservation with the Guest.

Depending on the booking date, the required payment may be either a deposit or the full trip amount, as outlined below.

2. Deposit and Payment Requirements

 A 25% deposit is required to secure a booking. The deposit contributes toward accommodation reservations, activity arrangements, logistical preparations, and other services required to organize the Guest's trip.

The remaining 75% balance must be paid at least one month before the scheduled trip date.

The booking will only be considered fully paid once the total agreed trip amount has been received.

3. Last-Minute Bookings

 Last-minute bookings may be accepted up to one day before the scheduled trip date, subject to availability and our ability to make the necessary arrangements.

All bookings made within one month of the trip date require full payment at the time of booking.

Acceptance of a last-minute booking is subject to availability of accommodation, guides, transport, permits, and other required services.

4. Guest Responsibilities

 Guests are responsible for providing accurate information required to arrange their booking, including names, contact details, travel dates, and any other information reasonably necessary for the provision of services.

Guests are also responsible for ensuring that they are adequately prepared for the activities included in their itinerary and for following reasonable instructions provided by our guides, staff, and service providers.

5. Changes to a Booking

 Any requested changes to a confirmed booking should be communicated to Mt Kenya Trekking Expeditions as early as possible.

Changes are subject to availability and may result in additional costs. We will make reasonable efforts to accommodate requests but cannot guarantee that all changes will be possible.

6. Accepted Payment Methods

 Mt Kenya Trekking Expeditions may accept payment through the payment methods made available to the Guest at the time of booking.

Payment methods may include bank transfer, mobile money, card payment, online payment services, or other approved methods.

The available payment methods may vary depending on the Guest's location and booking arrangements.

7. Currency and Bank Charges

 All applicable trip prices are quoted in USD (US Dollars), and payments are processed in USD

Any bank charges, transfer fees, currency conversion costs, or third-party payment charges imposed in connection with a payment will be the responsibility of the Guest unless otherwise agreed.

8. Cancellation

 Guests may request cancellation of their booking by contacting Mt Kenya Trekking Expeditions through the official contact channels provided on our website or booking confirmation.

Cancellation and refund eligibility are governed by our Cancellation & Refund Policy.

9. No-Show

 If a Guest fails to arrive for their scheduled trip or does not participate without providing a cancellation request before the trip, the booking will be treated as a no-show.

No refund will be provided for no-shows.

10. Refunds

 Where a Guest qualifies for a refund under our Cancellation & Refund Policy, the refundable amount will be processed within 7 business days after the cancellation has been reviewed and approved.

The default refund method is the same payment method used by the Guest to make the booking payment.

A Guest may request an alternative refund method where possible. Mt Kenya Trekking Expeditions may accommodate such a request where the requested method is available and within our operational capacity.

Any bank, payment-platform, currency-conversion, or third-party transaction charges associated with receiving a refund may be borne by the Guest where applicable.

11. Acceptance of Terms

 By making a booking or submitting payment, the Guest acknowledges that they have read, understood, and accepted these Booking Terms & Conditions and the applicable Cancellation & Refund Policy.

Mt Kenya Trekking Expeditions reserves the right to update these Terms & Conditions from time to time. The version applicable to a Guest's booking will generally be the version in effect when the booking is confirmed.
