Cancellation & Refund Policy

This Cancellation & Refund Policy explains the cancellation and refund terms applicable to bookings made with Mt Kenya Trekking Expeditions.
1. Cancellation More Than One Month Before the Trip
Where a Guest cancels a booking more than one month before the scheduled trip date, the Guest is eligible for a refund of 75% of the amount paid.
Mt Kenya Trekking Expeditions will retain 25% of the amount paid to cover costs and commitments associated with accommodation reservations, preparations, administrative work, and other arrangements made in connection with the booking.
This applies whether the Guest has paid only the deposit or has already paid the full trip amount.
Example: If a Guest has paid a total of $1,000 and cancels more than one month before the trip, $750 will be refunded and $250 will be retained.
2. Cancellation Less Than One Month Before the Trip
Cancellations made less than one month before the scheduled trip date are non-refundable.
This also applies to last-minute bookings for which full payment was required at the time of booking.
Once a booking falls within this period, no refund will be provided for cancellation by the Guest.
3. No-Show Policy
A Guest who fails to appear for their scheduled trip without an approved cancellation will be considered a no-show.
No refund will be provided for no-shows.
4. Refund Processing
Where a Guest qualifies for a refund, Mt Kenya Trekking Expeditions will process the refund within 7 business days after the cancellation request has been reviewed and approved.
The time required for the funds to appear in the Guest's account may vary depending on the payment provider, bank, or financial institution involved.
5. Refund Method
The default refund method is the same payment method originally used by the Guest to make the booking payment.
A Guest may request a refund through an alternative payment method. Mt Kenya Trekking Expeditions may accommodate the request where the alternative method is available and within our capacity to process.
Any applicable transaction, bank, payment-platform, or currency-conversion charges imposed by third parties may affect the final amount received by the Guest.
6. How to Request a Cancellation
Cancellation requests should be submitted to Mt Kenya Trekking Expeditions through the official contact channels provided on the website or in the Guest's booking confirmation.
The cancellation date will generally be determined by the date and time Mt Kenya Trekking Expeditions receives the cancellation request.
Guests are encouraged to submit cancellation requests as early as possible.
